Privacy policy

This policy explains what personal data GameShapeHQ collects when you use gameshapehq.com, why we collect it, how long we keep it, and what you can do about it. We have written it to be read, not to be skimmed past.
1. Who is responsible for your data
GameShapeHQ, operating gameshapehq.com, based in Varanasi, Uttar Pradesh, India, is the data controller for the personal data described here.

2. What we collect, and why
2.1 Information your browser sends automatically
Like every web server, ours records a log entry for each request. That entry contains your IP address, the date and time, the page requested, the referring page, and your browser's user-agent string.
- Why: to serve the page, keep the site secure, detect abuse and attacks, and diagnose faults.
- Legal basis (UK/EU GDPR): legitimate interests — operating and securing the site.
- Retention: access logs are kept for up to 30 days, then deleted or anonymised.
2.2 Information you type into the contact form
If you contact us we receive your name, email address, and whatever you write in the message.
- Why: to read and reply to your message.
- Legal basis: legitimate interests, or steps taken at your request before entering a contract.
- Retention: up to 24 months after the conversation ends, then deleted.
Please do not send us health information. We are not a healthcare provider, we cannot give you individual medical advice, and we would rather not hold data about your health at all.
2.3 Cookies and similar technologies
We set a small number of cookies. Which ones depends entirely on the choice you made in the cookie banner. The full list, with names and durations, is in the cookie policy.
- Strictly necessary cookies — including the one that records your cookie choice. Legal basis: legitimate interests; no consent required.
- Analytics cookies — set only if you allow them. Legal basis: consent.
- Advertising cookies — set only if you allow them. Legal basis: consent.
You can change or withdraw consent at any time using the Cookie settings button in the footer of every page. Withdrawing is as easy as giving it.
2.4 What we do not collect
- We do not ask you to create an account.
- We do not sell personal data. We have never done so and have no plans to.
- We do not knowingly collect data from children (see section 8).
- We do not build profiles that produce legal or similarly significant effects about you.
3. Who else sees your data
We share personal data only with service providers who need it to make the site work, and only for that purpose. Each of the following processes data on our behalf under contract:

Replace each bracketed entry with the actual named company before launch. A privacy policy that lists placeholders is not a valid privacy policy.
We may also disclose data where we are legally required to, or where it is necessary to establish, exercise or defend legal claims.
4. International transfers
Our providers may process data outside your country, including in jurisdictions whose data protection laws differ from your own. Where personal data of people in the UK or EEA is transferred outside those areas, we rely on an adequacy decision or on Standard Contractual Clauses together with any additional safeguards required.
5. How long we keep things
We keep personal data only as long as it serves the purpose it was collected for. Specific periods are stated alongside each category in section 2. When a period ends, data is deleted or irreversibly anonymised. Aggregated statistics that cannot identify anyone may be kept indefinitely.
6. Your rights
Depending on where you live, you may have some or all of the following rights. We honour these requests regardless of which law technically applies to you.
- Access — get a copy of the personal data we hold about you.
- Rectification — have inaccurate data corrected.
- Erasure — have data deleted where we have no overriding reason to keep it.
- Restriction — have us pause processing while a dispute is resolved.
- Portability — receive data you gave us in a machine-readable format.
- Objection — object to processing based on legitimate interests.
- Withdraw consent — at any time, without affecting processing already carried out.
- Opt out of sale or sharing — we do not sell or share personal data as those terms are defined under US state privacy laws, so there is nothing to opt out of. If that ever changes, this policy changes first.
- Non-discrimination — exercising any right will never degrade your access to this site.
To exercise a right, email privacy@gameshapehq.com. We respond within one month. We may ask a question to confirm the request came from you, but only what is necessary.
If you are unhappy with our response, you can complain to your local data protection authority. In the UK that is the Information Commissioner's Office; in the EEA it is your national supervisory authority; in India it is the authority established under the Digital Personal Data Protection Act.
7. Automated decision-making
We do not make decisions about you by automated means that produce legal effects or similarly significantly affect you.
8. Children
This site is written for adults and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, email privacy@gameshapehq.com and we will delete it.
Young people should train under the supervision of a parent, guardian, coach or qualified professional rather than from general guidance written for adults.
9. Security
The site is served over HTTPS. We limit who can access the systems that hold personal data and keep software patched. No method of transmission or storage is perfectly secure, and we do not claim otherwise — but if a breach occurs that is likely to result in a risk to your rights, we will notify the relevant authority and, where required, you.
10. Links to other sites
Our guides link to external sites, including public-health bodies and, in some cases, affiliate partners. Once you follow a link, that site's privacy policy governs — not ours. We have no control over what they collect.
11. Changes to this policy
When we change this policy we update the date at the top. If a change materially affects how we use your data, we will re-request cookie consent so you get the choice again rather than inheriting an old one.
